Privacy Policy -TargetCRM and Gmail Integration

TargetCRM (“we”, “our”, “us”) provides a cloud-based Customer Relationship Management (CRM) platform that integrates with Google services such as Gmail, Google Calendar, and Google Drive through Google OAuth.

This policy applies specifically to data accessed via Google APIs and should be read together with our general Privacy Policy (if applicable).

2.1 Google Account Information

When you connect your Google account using OAuth, TargetCRM may receive:

  • Your Google account email address

  • Your name and profile image (optional, for display purposes only)

This information is used solely to identify the connected account within TargetCRM.

2.2 Gmail Data

With your explicit consent, TargetCRM accesses limited Gmail data strictly to provide CRM functionality requested by you, including:

  • Reading unread emails from user-selected Gmail labels or folders

  • Processing email content and attachments to create or update CRM records (Leads, Tickets, Contacts, Opportunities)

  • Sending emails from TargetCRM workflows, reports, or manual actions

  • Marking processed emails as read and/or applying a TargetCRM-specific label to prevent duplicate processing

TargetCRM does not:

  • Read emails outside selected folders or labels

  • Access Google Contacts

  • Use Gmail data for advertising, marketing, profiling, or resale

2.3 Google Calendar Data

TargetCRM accesses Google Calendar data only to:

  • Create, update, reschedule, or cancel calendar events initiated from TargetCRM

  • Synchronize meeting details between TargetCRM and Google Calendar

  • (Optional) Check availability (free/busy) to assist in scheduling meetings

TargetCRM does not access calendar data unrelated to CRM activities.

2.4 Google Drive Data

TargetCRM uses Google Drive access only to:

  • Upload CRM-related documents or email attachments

  • Store files within app-created folders (e.g., “TargetCRM Attachments”)

TargetCRM can access only the files it creates or manages and does not read or modify other files in your Google Drive.

2.5 Usage & Technical Data

We may collect limited technical and usage data (excluding Gmail message content) such as:

  • Feature usage statistics

  • Error logs

  • Performance metrics

This data is aggregated or anonymised and used solely to improve platform reliability and user experience.

3. How We Use the Information

3.1 Service Delivery

We use Google-integrated data exclusively to:

  • Automate CRM workflows

  • Manage customer communications

  • Schedule and synchronize meetings

  • Store and organize CRM-related documents

3.2 Security & Compliance

We use collected data to:

  • Maintain platform security

  • Detect and prevent unauthorized access

  • Comply with applicable laws and legal obligations

3.3 Google API Limited Use Compliance

TargetCRM’s use and transfer of information received from Google APIs complies with the Google API Services User Data Policy, including the Limited Use requirements.

Specifically:

  • Google user data is used only to provide user-requested functionality

  • Data is not used for advertising, marketing, or profiling

  • Data is not sold, rented, or shared for commercial gain

  • Human access to Gmail content is restricted and permitted only when necessary for support, security, or legal compliance, and only with explicit user authorization

4. Information Sharing & Disclosure

TargetCRM does not share Google user data with third parties except:

  • Trusted service providers acting strictly on our instructions and bound by confidentiality agreements

  • When required by law, regulation, or valid legal process

We do not sell or monetize Google user data.

We implement industry-standard security measures, including:

  • Encryption of data in transit and at rest

  • Strict access controls and role-based permissions

  • Secure storage of OAuth tokens

  • Regular security reviews and audits

6. Data Retention & Deletion

We retain Google-integrated data only for as long as necessary to provide the requested services or comply with legal obligations.

If you revoke Google OAuth access or request deletion:

  • TargetCRM will stop accessing Google data immediately

  • Stored Google-derived data will be deleted or anonymized within a reasonable period, unless retention is legally required

7. Your Rights & Controls

You have the right to:

  • View which Google account is connected to TargetCRM

  • Revoke Google access at any time via your Google Account settings

  • Request access, correction, or deletion of your personal data

Revoking access may limit or disable related CRM features.

TargetCRM may include links to third-party websites or services. We are not responsible for their privacy practices and encourage you to review their policies independently.
